Ohio State is in the process of revising websites and program materials to accurately reflect compliance with the law. Department Space Scheduling

Room Information, Scheduling & Mazevo

Starting Autumn 2025, individuals affiliated with the department will make most room reservations in the Theatre, Film, and Media Arts Building through Mazevo. Mazevo replaces Outlook calendars and most direct-emails to department staff for room reservation requests. 

General policies about room use

  • Room users are required to re-set the room furniture back to its standard configuration after use.
  • Food and drink are not allowed in classrooms or program spaces in the Theatre, Film, and Media Arts Building. Food and drink are allowed in the lobby, offices, 4th floor kitchen and room 218 Student Lounge.
    • Water bottles with secure lids are allowed.
  • Painter's tape is the only adhesive allowed on walls and glass. Do not use any other type of adhesive.
    • Do not puncture walls or any surface with holes. The use of push pins, nails and screws is prohibited.
  • Spike and gaff tape are the only tapes allowed on floors in approved spaces. Do not use any other type of tape on floors.
    • Do not puncture floors or any surface with holes. The use of push pins, nails and screws is prohibited.
    • Consult Theatre Production or Moving-Image Production Staff for assistance in determining floor tapes for course work, rehearsals, etc.
  • There are generally no trash cans in spaces or offices. Building users are expected to throw trash away in the hallway trash cans.
  • Student organizations are not allowed to reserve rooms, except in specially approved circumstances.
  • University resources, including building facilities, can never be used for activities that result in personal profit.

How do I reserve a room?

Room reservation approvals are based department affiliation. If you have a department affiliation but do not see any rooms available to you in Mazevo, please contact the Mazevo team: Stephen Brunson.66, Jen Carpenter.376 and Dev Singer.95.

Rooms can only be reserved for meetings, course work and program-related activities. Room reservation approvals are not guaranteed. Plan to check the reservation status in Mazevo frequently.

I'm an instructor. Do I need to reserve all my classes for the semester in Mazevo?

No. Semester class scheduling is already loaded into Mazevo. Rooms will continue to be automatically reserved as part of the class meeting schedule. No separate request is needed.

How do I see a room's schedule and what's booked in a room?

There is a direct link to the room schedule on the room information page. Links to the room information pages are in the accordion below. The room schedule can also be viewed using the QR code posted at the room.

Mazevo has a 72-hour cut off time. What do I do if I need a room after the cut-off time?

We recognize there may be times when you need a room with less than 72 hours notice. You may walk up to a room, check its schedule and see there’s no one using it. What do you do? First, please limit last-minute room changes and scheduling as much as you can. Second, if the 72 hour window has passed, email the person responsible for that room (see the contact list above). We can triage the request and at a minimum get the room request added to Mazevo to capture building usage data.

What happens when I add a room to my Outlook calendar invite?

Outlook calendar invites will no longer reserve a room. Inviting the room in an Outlook calendar invite will let your meeting attendees know where the location of the meeting is. It is the meeting organizer's responsibility to reserve the room in Mazevo.

What about room 215?

Room 215 is a classroom pool space controlled by the Registrar’s Office. Requests for this space can be emailed to Paige Piper.92. Reservations for room 215 are only allowed for faculty and staff. Students are not allowed to reserve room 215.

Mazevo Room Reservation Instructions:

Log-in to Mazevo at https://mymazevo.com/login

Enter your email address using name.#@osu.edu. Do not use @buckeyemail.osu.edu. 

Select the Organization, The Ohio State University Arts District. 

The main dashboard will appear. Your screen will show the Requests column, under which you will see Event Book and My Events.

To submit a room reservation, click on Event Book. 

The next page will display your default Building, the Theatre, Film, and Media Arts Building. 

Click Search. 

Room availability appears in a grid view. 

Adjust the date as needed and click Display. The blue bars represent classes and other bookings for the respective spaces. 

A room request can be made directly from the event book by clicking on the plus sign next to the room name. Please note that some of the rooms on the list are view-only and cannot be booked. These are noted by an orange triangle caution icon. If you hover over the icon, a message about the room will appear. 

If a plus sign is missing from the room list, that means that the 72 hour cut-off time has passed and the room cannot be reserved within Mazevo. Contact the respective room reservation manager for assistance.

Within the Request Room dialog box, the start time will be filled in with the next half hour. 

  • Select the time that you want.
  • Type an event name, which should include a description of the purpose of the reservation.
  • For Event Type, select the item from the drop-down list that best fits the purpose of your reservation.
  • For Organization, click on Ohio State Student or Faculty/Staff, depending on your affiliation with the department.
  • Indicate how many people will be in the room (optional).
  • Click Request Room. 

If the room is in use during the time frame selected, a message will appear at the top of the  dialog box. Select a different time and again click Request Room.

If the room is available, the grid view will refresh, showing your reservation request at the time selected. 

Reservation requests hold the time on the calendar, but are not automatically approved. 

Navigate to the dashboard and click My Events to check the status of the request.

The platform does not yet have the capability to send a notification if your event was approved or denied. Please check the status of the request under My Events frequently.

If your schedule changes, please release the reservation so that the room becomes available for someone else. To cancel, select the booking under My Events, then click Cancel Event.
